A MICE company plans and runs business events end to end. In practice that means writing the brief with you, sourcing and negotiating venues and suppliers, booking flights and hotels, handling visas and arrival logistics, designing the stage and the running order, building registration and badging, managing exhibitors and sponsors, staffing the event on the ground, and reconciling the final account afterwards. A good one also tells you when your dates, destination and budget do not work together — before you commit.

A DMC (destination management company) is the local specialist in one city or country — ground transport, venues, permits, suppliers and experiences. A PCO (professional conference organiser) runs conferences and association congresses, usually including registration, abstracts, sponsorship and the scientific programme. A full-service event or MICE agency sits above both: it owns the client relationship and the whole programme, and appoints DMCs and specialists where local depth is needed. For a 100–300 person conference or incentive in a popular destination, six to nine months is comfortable and three is tight but workable. Anything requiring visas for a large group needs a minimum of 60 days before travel, and 90 is safer. Major exhibitions run on the organiser’s calendar, so stand space and freight deadlines can fall 9–12 months out. If your date is already close, say so in the brief — we will tell you honestly what is still achievable.

Yes. Venue sourcing on its own, a travel desk on its own, stage production on its own, or exhibitor and stand delivery for a show you are already committed to. We will tell you where the seams are, because the risk in a split scope is always at the handover — arrival times, rooming data, freight deadlines and technical specs are the usual casualties.

Depending on the programme we work on a management fee, a fee plus disclosed net supplier costs, or an agreed margin stated up front. Whichever it is, it is written down before sourcing starts. You see supplier quotes with inclusions and tax treatment stated, changes are quoted and accepted in writing before we commit to a supplier, and the closing account reconciles line by line against the contracted scope.

A registration journey built for your audience categories and approval rules, a mobile agenda and document wallet, QR check-in and badge printing at the door, a support channel that reaches a real person, and for exhibitions an exhibitor portal with a meeting diary and lead capture. Client-side you get a workspace showing approvals, budget position and delegate readiness in aggregate.

We collect only what the programme needs. Identity documents such as passports and visas are encrypted before they are stored, every read is logged, and they are purged on a retention date rather than kept indefinitely. Clients see aggregate readiness — how many visas are approved — not individual medical or document detail, unless the roster is data they supplied themselves and have explicitly asked to see back.

Something always goes wrong on site; the question is whether it was anticipated. Every programme has an escalation matrix with named owners, a live desk, supplier contacts that are current rather than from last year, and pre-agreed decision rights so that the person on the floor knows what they may spend and change without waking anyone. The close-out report lists what happened, because a report with nothing wrong in it reads as marketing.

Yes. Regulated meetings change the shape of the work rather than just adding paperwork: itemised billing by cost head, documented hospitality caps, faculty contracting and honoraria, transfer-of-value records and a defensible audit trail. We build the event to your policy and your code of practice, and we keep the evidence in a form your compliance team can actually accept.

We can reduce the obvious things — travel emissions through routing and mode choice, food waste through realistic guarantees, freight through reusable stand systems, print through digital delegate materials — and we report what was measured rather than what was estimated. We will not claim an event was carbon neutral because an offset was purchased; that is a separate line, described as what it is.

You do. Attendance, session engagement, lead capture, survey responses and the reconciled financial detail are exported in your format at close-out, and the export format is agreed before registration opens rather than negotiated afterwards.
