Everything before show day is preparation. On show day the plan meets fourteen suppliers, a delayed flight, a speaker who has rewritten their deck and a client executive who wants something changed at eleven minutes’ notice.

We run a live desk: one current version of the schedule, a named owner for every workstream, agreed decision rights so the floor can act without waking anyone, a morning briefing, an evening handover and a written log of what was decided and by whom.

Decision rights, agreed in advance

What may the floor lead spend without asking? What change needs the client sponsor? Who decides if the outdoor dinner moves indoors, and by when? Agreed and written down before travel, so that at 17:40 with weather closing in, somebody just decides.

Alerts first, counters second

The live board answers where everybody is right now. Open incidents and delayed arrivals sit above the attendance numbers, because the numbers are reassuring and the alerts are actionable.

Handovers carry open actions

Shifts change; problems do not. Every handover moves the open list with owner and status, so the incoming lead is not rediscovering at 06:00 that a supplier promised something at 23:00.

VIP handling is quiet

Discreet arrival routing, a host who knows the names and the faces, a room that is ready when they reach it, and a recovery plan for the flight that did not arrive. Executives should not be able to tell that any of it was difficult.

Questions

Live Operations & Command — the awkward ones.

It depends on the shape rather than the head count. A 300-person conference in one hotel might take six of ours plus local staffing; a multi-venue programme with airport waves across two days takes considerably more. We give you the staffing plan with roles named in the proposal, not a number.
