Meetings, not footfall

Hosted Buyer Programmes

Qualified buyers brought to a show in exchange for a committed meeting quota — matched on real interest, scheduled properly and reported honestly.

40 – 600 hosted buyers2 – 4 show daysShow organisers, trade bodies, exhibitions with a B2B matchmaking layer

A hosted buyer programme is a trade: the organiser pays for the buyer’s travel and the buyer commits to a number of meetings. It works when the meetings are relevant, and it collapses into resentment when they are not.

Our matching ranks mutual interest above everything — two parties who each asked for the other have already agreed — then fills toward each buyer’s quota rather than maximising a total score, and reports who is short so somebody can pick up a phone.

Hosted Buyer Programmes — what the format involves
40 – 600 hosted buyers · 2 – 4 show daysMeetings, not footfall

Qualification before hospitality

A hosted buyer who cannot buy costs the programme twice — the travel and the exhibitor’s wasted hour. Qualification criteria, verification and a decline process are set before invitations go out.

Mutual interest outranks overlap

Category matching produces plausible meetings. Two parties who each requested the other produces useful ones. The scoring gap between them is deliberately large.

A quota is a contract

The scheduler fills toward each buyer’s committed number rather than optimising a global score, and surfaces the shortfalls as a list of calls rather than a statistic.

Draft until published

The diary stays a draft so it can be rebuilt without confusing three hundred people, then publishes to both portals at once with travel and stand locations attached.

Where it goes wrong

What we look for first on this format.

Every format has a small set of recurring failures. None of them are mysterious; they are just the things that get planned last and matter most.

01Buyers scheduled into back-to-back meetings across the whole hall Watch
02The same exhibitor and buyer paired twice by accident Watch
03A diary published before the exhibitor list is final Watch
04No process for a buyer who does not show up on day two Watch

What you should get out of it

  • Meetings both sides asked for
  • Quotas met, and shortfalls visible in time to fix
  • A diary that respects walking distance and breaks
  • Attendance and meeting completion reported per buyer
