A conference is not one event. It is a programme, a production, a travel operation, a registration system and a sponsorship business running in the same building at the same time, and it fails at the seams between them.
We run all five under one programme lead. The agenda drives the floorplan, the floorplan drives the technical spec, the registration categories drive the badge design and the room capacities, and the arrival waves drive the transfer and check-in staffing. Change one, and we change the rest — instead of finding out on day one that they disagree.

The agenda is the plan
Everything downstream is decided by the agenda: how many rooms, at what set, with what turnaround between sessions, and whether nine hundred people can get coffee in twenty minutes without missing the next keynote. We build the agenda against the building, not against a blank page.
Speakers are managed, not chased
One content desk, one deadline, one controlled version of every deck. Speakers get a briefing pack, a rehearsal slot and a person whose job is their session. Files land in one place, get checked on the show system, and are locked before doors open — because a deck emailed during lunch is how plenaries fall behind.
Registration is an operations decision
Delegate categories decide who sees which sessions, who needs approval, what the badge says, which rooms are capacity-controlled and what the door staff do with an exception. We design that logic before the registration site opens, and we test the journeys as a delegate would walk them.
Sponsors get what was sold
Sponsorship is a contract with deliverables — visibility, sessions, meeting space, delegate access, lead capture. We track delivery item by item and hand the sponsor evidence at close-out. Renewals are decided on that, not on how the party went.
Arrivals decide the first impression
Delegates judge a conference in the first forty minutes: the airport, the transfer, the hotel desk, the badge queue. We plan by arrival wave — staffing check-in and registration where the volume actually lands rather than spreading it evenly across the day.
