Exhibition & Trade Show Management
Trade shows, country pavilions and expo presences — organiser liaison, stand delivery, freight and customs, staffing, the meeting diary and the lead handover.
Exhibitions run on someone else’s calendar. The organiser sets the deadlines for space, build heights, rigging, power, freight and health and safety, and each one has a penalty attached. Missing them is not a scheduling inconvenience, it is a cost.
We hold the organiser relationship, run the exhibitor manual as a live checklist, deliver the build, staff the floor and — the part that decides whether the show paid for itself — make sure the conversations that happened turn into records your sales team can use on Monday.
What is included
- Show selection and space negotiation
- Organiser liaison and deadline control
- Stand design, build and dismantle
- Freight forwarding and customs clearance
- Exhibitor and pavilion coordination
- Hosted buyer and meeting diary management
- Promoter and hospitality staffing
- Lead capture, scanning and CRM handover
The exhibitor manual is a live checklist
Build height approval, rigging plots, electrical loading, risk assessments, fire retardancy certificates, dilapidation deposits, freight windows. We convert the manual into a dated checklist with an owner per line and work it down to zero. This is unglamorous and it is where exhibition budgets are saved.
Freight is the schedule risk nobody plans for
Customs, carnets, marshalling yards, drayage and a two-hour delivery window that opens at 04:40. We plan freight backwards from the load-in slot, keep a contingency route, and know which shows will hold your crates if the paperwork is one signature short.
Exhibitors buy conversations
Floor space is a means. We build the meeting diary around mutual interest first — two parties who each asked for the other beats any amount of category overlap — fill toward each hosted buyer’s committed quota rather than a total score, and report who is short so somebody can pick up a phone.
Leads decay by the hour
A lead captured on a scanner and synced the same afternoon converts meaningfully better than a business card typed up the following week. We set the capture up against your CRM fields, brief the staff on what qualifies, and hand the data over before the floor closes — not in a spreadsheet a fortnight later.
Country and industry pavilions
A pavilion is many small exhibitors under one roof with one deadline set. We run the co-exhibitor onboarding, the shared build, the common hospitality and the joint buyer programme, so twenty companies get a coordinated presence rather than twenty independent panics.
What you get
Deliverables, not intentions.
These are the artefacts that exist at the end of this workstream. If one of them is missing from a proposal you have received elsewhere, it is worth asking why.
