A rotating city and a peer-reviewed programme
Association Congresses
International association meetings — bid support, abstract and committee workflow, registration, sponsorship, exhibition and delegate operations.
An association congress rotates between cities, runs on a peer-reviewed programme and is funded by a mix of registration, sponsorship and exhibition. Each of those three has a different customer, and the congress fails if any one is neglected.
We work to the association’s committee structure and calendar, run the abstract and scheduling workflow that produces the programme, and deliver the registration, the exhibition and the delegate operations around it.
What this format looks like
- Typical size
- 400 – 15,000 delegates
- Duration
- 3 – 5 days
- Audience
- Professional and scientific associations, learned societies, federations
The programme is the critical path
Abstract deadlines, review rounds and committee decisions determine when the floorplan, room bookings and printed materials can be finalised. A programme two weeks late costs money in every downstream line.
Three revenue lines, three customers
Delegates buy the science, sponsors buy access, exhibitors buy conversations. Each needs its own plan, its own communications and its own delivery record.
Bid and destination rotation
Congresses are won on a bid — venue capacity, airlift, hotel inventory, convention bureau support and local host commitment. We support bids with a realistic operational picture rather than an optimistic one.
Membership data, handled carefully
Associations hold long-lived member data across jurisdictions. Registration must respect that, and the export at close-out has to arrive in a form the association’s own system can absorb.
Where it goes wrong
What we look for first on this format.
Every format has a small set of recurring failures. None of them are mysterious; they are just the things that get planned last and matter most.
What you should get out of it
- A programme delivered on the committee’s decisions
- Registration, sponsorship and exhibition each managed properly
- Delegate operations that scale to congress volume
- A close-out the board can review

Sectors that run this
Same format, different rules.
Pharma & Life Sciences
Compliance is not a review at the end. It decides the venue, the catering, the travel class, the contracting and what the record has to show.
SectorENREnergy & Infrastructure
Technical audiences, remote sites, heavy exhibition presence and a safety regime that is not negotiable.
SectorMEDHealthcare & Medical Devices
Clinical audiences, hands-on training with real equipment, and compliance obligations that sit alongside a commercial objective.
SectorGOVGovernment & Public Sector
Protocol, security, procurement rules and delegations that travel with their own requirements — planned with the agencies rather than around them.
SectorOther formats
Often planned alongside.
Leadership & Board Offsites
Private working programmes for boards and executive teams — the property, the arrivals, the pacing and the discretion.

Multi-day company conferences connecting plenary, breakouts, travel, hotels, hospitality and several hundred people arriving at once.
Format100 – 1,500 delegatesSales Kick-Offs
The start-of-year meeting that sets the target, the message and the energy for a field organisation — content-heavy, fast-paced and unforgiving of a slow room.
