Milestones, working backwards.

Dates are relative to the event. Anything that has slipped past its marker here is not automatically lost, but it is no longer free — and the honest conversation is better had now than in the final fortnight.

The principles

What this format rewards.

The agenda decides the floorplan

Build the agenda against the building, not against a blank page. How many rooms, at what set, with what turnaround, and can nine hundred people get coffee in twenty minutes without missing the keynote.

Staff arrivals against the peak wave

Six hundred delegates arrive in four clusters. Transfers, hotel check-in and registration staffed for the largest wave, with a staffed exception desk beside the scan lanes.

One content desk, locked at T-3 weeks

Every deck to one place, version controlled, checked on the show system, and locked. Speakers who want changes talk to the content desk, not a technician at a coffee break.

The evening is part of the programme

Awards and the social night carry as much of the message as the keynote. Script them, light them, rehearse them and agree the banqueting sequence with the venue.
