A 340-dealer annual summit that finished on time
Fourteen departure cities, a resort buyout and an awards ceremony that had overrun by two hours the previous year.
The brief
An automotive manufacturer’s annual dealer summit had become a source of complaints: delayed transfers, a ninety-minute hotel check-in queue and an awards ceremony that ran two hours long, ending after most of the room had left.
What was going wrong
- Dealers arriving from fourteen cities with no grouped travel arrangement
- Hotel check-in unstaffed against the arrival peak
- An awards ceremony with 26 categories and no rehearsed running order
- Six weeks of invoice reconciliation after the previous edition
What we did
Four changes that mattered.
Grouped the travel by departure city
Fourteen origin cities became eleven negotiated group movements with ticketing status tracked per group, producing four predictable arrival waves instead of a scattered day.
Staffed check-in for the peak
A dedicated hotel desk and pre-allocated rooming keyed to the arrival waves, with a staffed exception position for the substitutions that always arrive late.
Rebuilt the ceremony as a broadcast
Categories reordered by weight, twenty-six awards grouped into eighteen stage moments, films naming individuals, a rehearsed walk-on path and a banqueting sequence agreed with the venue.
Reconciled against the contract
Master bill checked line by line against contracted scope, with variations traced to written approvals.
