Event technology should make it easier to invite, inform and receive people—not add another layer of administration. We choose and configure the registration, access and reporting tools around the actual guest journey, the client’s systems and the information the programme genuinely needs.
What we manage
The final responsibility list is agreed against the brief. These are the areas most commonly placed with Voya Circle.
Forms, invitations, confirmations and reminders are shaped around audience categories, approval rules and the questions guests can reasonably answer.
Guest records are checked, categorised and prepared for travel, rooms, access, communications and reporting.
Arrival flows, badge rules, devices, printers, staffing and exception handling are planned and tested together.
Guests receive the relevant programme, joining information and changes through the agreed email, web or mobile channel.
Hosted-buyer appointments, session attendance or lead records are configured only where there is a clear owner and use for the information.
Final exports, ownership, retention and deletion expectations are agreed before launch and followed at close-out.
